Client Background

The client owns a hospital in the UK.

Client Requirements

Our client was looking for an appointment management system for their hospital. They had number of appointments during the day and in upcoming weeks, which they manually managed. During the course of time, it became difficult to manage and the situation became chaotic. Due to this, patient’s turns were missed. So, the client wanted a appointment system, where patient’s can book their appointment, check for availability, and also track appointment sequence so that the chaos can be managed.

The client also wanted to have virtual appointments along with in-door appointments and allow digital payments with customized appointment page.

Challenges

We have a couple of challenges while developing this system. First and foremost was to manage the appointment sequence/queue and allow the customer to monitor/track it. The other was to implement customized appointment design page.

Our Solution

Webbrains Technologies took up the challenge and implemented the appointment system for the client. To overcome the first challenge, we used a token no for each client, so when the visitor checks –in they receive a mobile ticket where they can monitor their place in the appointment sequence. We developed a custom design page for appointment with all the features and functionalities.

Our professionals:

  • Developed a system where any visitor can book their appointment via app or website and immediately receives a booking confirmation.
  • We have integrated/synced Google Calendar for appointment booking, Zoom, Google Meet, Microsoft Teams, and GoTo Meeting for audio and video conferencing.
  • A couple of days before the appointment date, the visitor receives a reminder with a check-in link—the visitor checks in using the link in the reminder message. 
  • When the visitor is checked-in, they receive a mobile ticket where they can monitor their place in the appointment sequence. 
  • The customer is called when it’s their turn and receives the service.
  • For audio or video conferencing, the visitor has to book virtual appointment and select any mode and platform for the same.
  • They too will receive a reminder notification 2-3 days prior.
